Five workflows every SME should automate first

Connected steps of an automated workflow

Automation is not about robots. It is about the small repeat tasks that quietly eat your week. A few hours of setup can give those hours back every month.

A good rule: automate what happens often, follows the same steps each time, and costs you when it is late. These five usually qualify.

1. Lead capture and follow-up

Enquiries arrive through forms, WhatsApp, social media and calls. Route them all into one place, send an instant acknowledgement, and create a reminder for the person who should follow up. Speed matters, and this removes the gap between interest and reply.

2. Customer onboarding

When a deal is won, the same steps follow: a welcome message, a checklist, a handover to delivery. Trigger them automatically so nothing depends on someone remembering.

3. Reminders and confirmations

Appointments, renewals, deliveries and follow-ups can all be confirmed and reminded by WhatsApp, SMS or email. It reduces no-shows and saves staff from making repeat calls.

4. Weekly reporting

If someone spends Monday morning copying numbers between tools, let software do it. A scheduled dashboard or email with last week's key numbers keeps meetings focused on decisions, not on assembling data.

5. Internal requests and approvals

Leave, stock and supplier requests often live in chat threads. A simple form that routes to the right person, with a clear status, ends the chasing.

How to start

  • Pick one workflow, not five.
  • Write the steps on paper first. Automating a messy process only makes the mess faster.
  • Keep a person in the loop for anything a customer will see.
  • Measure hours saved after a month, and decide what to automate next.

Tools such as Zapier, Make and n8n can connect most of the software you already use, so you rarely need custom development.
